How to Split Costs on a Group Trip

Collect the big costs once, before anyone packs. Split the meals as they happen.

Collect the Big Costs Before You Go

One person books the house and the car weeks ahead. Collect from everyone then, so you aren't carrying five shares for weeks. With the big costs paid for before you leave, the trip itself has fewer expenses to track.

A Worked Example

Six friends take a long weekend at a lake house. Priya books the house and the van. Say the costs come to:

The costs:

  • Lake house, 3 nights, with cleaning fee and taxes$1,740.00
  • Minivan rental, 3 days$384.00
  • Total: $2,124.00

What each person pays

  • $2,124.00 ÷ 6 = $354.00 each.

Priya pays her own share, and the other five send her $1,770.00 between them.

During the Trip

For dinners out, one person pays on their card, snaps the receipt, and everyone taps what they had. See splitting when everyone ordered differently.

A grocery run is one receipt split evenly. When different people pay for different things, each one shares a link for what they paid that day.

If your group would rather log every expense in one running ledger, see our Splitwise comparison for where each tool fits.

How to Do It in tidytab

  1. Start a collection. Open tidytab and choose “Collect a fixed amount”.
  2. Set the amount each person pays. Name it “Lake house and van”, put $354.00 in “Each person pays” and 6 in “People (incl. you)”. tidytab shows $2,124.00 in total.
  3. Publish it. Add your name, email and the payment apps you use, then choose “Publish & Share”. Add your own share when tidytab offers.
  4. Share one link in the group chat. Friends pay you directly in their own app. A couple can pay for both in one payment, and the page shows who has paid and what is still outstanding.

Frequently Asked Questions

When should everyone pay the organizer back?
When the house is booked, before the trip. That way the person booking is carrying only their own share while everyone gets ready to go.
What if the total doesn't divide evenly?
Round each share up to the next cent. Say a house comes to $1,000.00 for 3 people: that is $333.34 each, collecting $1,000.02 and leaving the organizer $0.02 ahead. In tidytab you type what each person pays, so every friend is asked the same amount.
What if someone drops out after the house is booked?
Agree before booking that a booked share is owed unless someone takes the spot. Put that agreement in the trip chat while everyone can still decide whether to join.
What if one person gets the best room?
An even split is simplest. Agree on any extra for the best room before booking. When people owe different amounts, make one collection per amount, as the ski house guide does for different nights.
Do my friends need the app?
No. The link opens in the browser, with no account needed. Friends pay you directly with Venmo, Zelle, Cash App, PayPal or a bank transfer.
